TIPS FOR THE PERFECT CONFERENCE

 

Be prepared and relaxed for your next meeting. Our checklist will provide you with useful tips on how you can successfully organize your conference.
 

 

BEFORE YOUR CONFERENCE

SET YOUR TOPIC AND PLAN THE AGENDA

Establish the most important topics and in what order they are to be discussed. That way you will always have a good overview.

 

SCHEDULE YOUR CONFERENCES
Schedule your conference from the dashboard of your account or if you prefer, you can also do this via telephone or email. Our system also works as an 'On-Demand’ service, so that you can set up at any time without booking it through our system.

 

INVITE PARTICIPANTS
Send your participants an invitation in advance, which will include the conference details, calendar entry and also the Agenda and subject of your call.

 

CALLING INTO YOUR CONFERENCE
Have your Dial-In Number as well as your Moderator PIN ready and be sure to be on time to call into your conference.

 

TEST YOUR EQUIPMENT
Whether you are calling via phone or over the internet, it is always a good idea, particularly with new equipment, that you test them out beforehand to ensure the audio/video is working as expected.

 


 

DURING THE CONFERENCE

AVOID INTERFERENCES AND BOOST PRODUCTIVITY
Avoid constant background noise during your conference by muting your participants’ lines. Improve productivity with presentation mode. You can read more about the online and also phone controls available to you under the 'features' section of this support site.

 

APPOINT A CO-HOST
Appoint someone to be a Co-Host during your conference so that they can manage the conference for you. This is best done if they access the conference from their browser. You can then give them moderator privileges by hovering your mouse over their tile and clicking on the 'star’ symbol. This is particularly useful for larger conference calls and online meetings.

 

HOLD A VIDEO CONFERENCE
Meet face to face with your colleagues or clients with capacity for up to 100 participants at a time.

 


 

AFTER THE CONFERENCE

FOLLOW UP AND PROTOCOL
Send important documents and meeting notes to all participants.
